Analysis Of Problem Encountered In OJT At Jenra Grand Mall

In the "Problem Encountered In OJT: Essay" paper I will share with you my experience of on-the-job training undertaken at Jenra Grand Mall.

The goals of my off-campus practice

Personal Skills

    1. Time Management

In the duration of my training I have managed to balance my time between OJT and academics. It was challenging to adjust at first, but I took it as an opportunity to improve myself. Also I learned to handle time while doing the tasks handed to be to prove that I can be efficient.

    1. Adaptability

The practicum program gave me my first experience to work in an office. Since I do not have any prior knowledge, it is important that I can adapt easily to the environment. I observed and followed their system, how they deal with matters within and outside the scope of our jobs.

    1. Alertness

One must always be alert in the office especially when there are clients. We must open doors for them and entertain them if Sir Carlo is not yet available for consultation. If our supervisor or the other staffs asks us for assistance, we must always be available to help. Having initiative is also a sign of alertness. We must not wait for orders to be given to us but instead volunteer to do tasks which will benefit the office.

    1. Productiveness

The day goes by fast when you are busy in the office. It is crucial that we spend time wisely and we accomplish everything that is asked of us. In TSB, we seldom have idle time because of the amount of workload we have with the numerous clients. I always feel a sense of completeness for the day whenever I am productive in the office.

  1. Sociability

Being outgoing with the people around me is one of the weak points in my personality. Having this OJT helped me develop within myself my people skills. I learned how to better communicate and be considerate of others.

Business Skills

    1. Accountability

We must assume responsibility for our own actions and decisions especially when it comes to business because others are also at stake for whatever the consequences of our behaviour. I exercised this skill in the office by complying with Sir Bon’s order that we sign our names in the documents we handle.

    1. Accuracy

No one is perfect and everyone is allowed to commit mistakes sometimes but we have to take extra precaution when doing business because a mistake could burden other persons. I double check my work whenever I have the time and before I turn them over to Sir Carlo, I make sure that I did correctly what he asked of me.

    1. Attention to details

Sometimes even the smallest details matter. That’s why I try my best to pay special attention to what I do especially when it involves amounts or calculations. I make an effort to be thorough and not miss anything important when I do my tasks.

    1. Competence

The main purpose of the practicum program is for us to learn particularly on applying what we have learned so far in our course, Accountancy. Everyday I want to do tasks that will add up to my knowledge so whenever I am done with mine, I try to learn what the others do and not just the process itself, but the rationality behind them.

  1. Professionalism

This includes coming in on time and coming in prepared for the day. It is also setting aside personal matters and focusing on your work when in the office. Most of the time that I feel tired or sleepy during work hours, I try not to show it and I act decently at all times inside the office.

The Nature of my Work in the Office

My task in the office is mostly clerical. I was assigned a daily task; to post into the statement of accounts, which is a general ledger to summarize all of their billings separated monthly. Every day I check the receipts if there are recently paid ones. Before I can post them, they have to be approved by our manager, Sir Carlo or Sir Romel. I also do other routine work like input of information in Microsoft Excel, depositing money into the bank, making payment slips, printing various BIR forms and annex sheets, typewriting, and making an inventory of our clients’ documents.

Another nature of my work in the office is accounting. I experienced computing the tax dues of some of our clients, summarizing their sales and also I computed the cash receipts of TSB through their retainer’s fee. A part of our everyday work is making sure the office is clean. Before we start our day, we sweep, mop and remove dust. I also wash the plates after eating. We also make coffee for Sir Carlo and for the other employees.

Interpersonal Relationships

Having an interpersonal communication with others is as easy task for me but to have a relationship is another thing. Everyone is approachable and when something is wrong, they are always open to help you. Even though they have some family problems, they still practice professionalism and eventually, they forgave each ones mistakes. At first, I was nervous back then when I introduced myself to the workers and other staffs of RS8 Business Consultancy but it was only that day because the supervisors and staff are all very friendly. They even shared their stories to us that have something that we can learn. They even shared their food and snacks. I felt their care and love when we talk about life during breaks. I really enjoyed the time when we were having some jokes together during our lunchtime. Everyday the room was filled with positivity even when everyone is under pressure. My training was filled with learning, both about work matters and about life in general. Also I became closer with my co- OJT students. I already was friends with most of them before but working together everyday gave us a chance to know and appreciate each other better.

Working Relationships with the Executive & Co-Workers

Even though most of them are related by blood and we were close to them, we are all very professional when it comes to work. They try to balance and set boundaries on how they would separate their personal and professional life in the office. I gained wisdom from every person in the office with all that they taught me. Everywhere one may go to work, working relationship is always vital because I believe that this affects your productivity in doing your job. And as for me, they do a great job on setting such boundaries.

Teamwork

Teamwork is one of the things that are needed for a company to survive and teamwork inside the office is really developed because first and foremost, their works are interrelated with one another. The output of one is the input of the other. Teamwork is required to get the work done effectively and on time. Socializing well with others is a part of having teamwork. The business would not be successful as it is now if it was not for the combined effort of the supervisors and staff.

Quality of Service Delivered

Starting with only 4 clients, RS8 today has over 300 clients and this is because of the quality of service that they deliver. Their clients trust them with their business matters and this is clearly manifested by the long-term relationship RS8 has with most of them. They do not let the clients have penalty payments. They exhibit concern and they make sure that they have all matters that pass through their hands under control.

Punctuality

Punctuality mirrors efficiency and success. It does not only mean coming in on time, but also finishing your given tasks on time. Our office hours in RS8 Business Consultancy start at 9:00 am. It is important that the OJT students come in earlier than the supervisors to give them time allowance to clean and prepare the office. The employees come in at different times especially when they have duties outside of the office like going to BIR and SSS. But time is always of the essence to them when it comes to meeting deadlines and paying bills for the clients. Punctuality mirrors efficiency and success. RS8 achieved numerous clients who trust the business because of this quality.

Personal Grooming

RS8 Business Consultancy has their Green and Red polo shirt with a logo of the firm on left upper chest. The Green and the Red polo shirt must be worn alternatively and decent casual wear every Friday. This colors are especially picked by our manager as it resemble colors that are lively and that it could boost the spirit of the employees. We have to look presentable each day we work in the office, especially since countless clients come in every day. For us, OJT students, we can wear smart casual attires, school uniforms or corporate attires.

Problems Encountered During my Training and How I Solved Them

The major problem I encountered while having my On-The-Job training is time management. It is really hard to balance between OJT and academics, and personal life. It’s because it is hard for me to do school works at night because I was tired then because after the OJT in the office I was still having my evening class. Whenever I go to classes after work, I always feel sleepy and absent-minded. Upon going home, I always find myself so tired that I cannot do any more homework. I handled my time by sleeping early and by getting off work earlier than usual if we have assignments to do or a test to study for. There are times that I go out early to the office so that I can work our thesis and do assignments. Also there are times at the office when while my doing my daily task, some amounts do not balance when totalled and sometimes I cannot understand the penmanship. Whenever this happens I go to Sheryll Dumilon to inquire about the billings because she’s the one who makes them.

Recommendations/Feedback of the student on the School’s Practicum Training Program

Business Consultancy has provided me a good training in preparation for the professional world I will be entering to which is coming very soon. Every day we are given opportunities to learn new things and to apply what we have learned in school. The employers are very much willing to teach us different office works and help us develop different skills which are needed in the future. The working place is good but this can still be enhanced with proper interior layout and design so that the space will be maximized and the place will not look small.

I also suggest the company to have a signage outside the building so that potential clients and other people would easily locate the company. An off-campus practice shows us a glimpse of the working environment and gives us valuable experience on the “real world” that we will be soon facing after getting a degree. Being an accounting student, it is important for me to put into practice what I have learned so far in my course. As Sir Ricky said, back in their time, they did not have a practicum program. He said that we were lucky to have one today because it really gives us an advantage.

I recommend that the school’s program be maintained and further developed in the upcoming school years. One are of improvement can be the schedule of the practicum program. I personally think that it will be better if they have it during summer, or any other time not coinciding with school days. This way they could extend the time requirement because 200 hours may not be enough for the students to maximize what he/she can learn about office duties.
